Why don't my bank deposits match my sales?

A payout or deposit doesn't always cover the same sales or dates as your sales report. Fees, refunds and timing can explain why the amounts don't match. Compare the payout details with the bank entry before treating a difference as missing money.

Type each account name exactly as it is printed in the file, then say what the account is used for. Your bank account in the books records the cash at your bank. Transfers on their way to the bank are payouts that have not arrived. Sales income records sales. Fees and other costs record fees or costs. Choose Other or not sure if you cannot tell.

Example report (made-up numbers)

This September 2026 example uses one account, USD and three synthetic source files. This example uses the same checks and report format as your review. Start with a preview of your own files.

Example report (made-up numbers)

  1. The books and bank totals differ, and the files do not yet show why.

    Amount to check: -USD 125.00

The selected entries in your books total -USD 250.00. The bank rows total -USD 125.00. The difference is -USD 125.00. Entries that add up in the books do not show which records belong together.

    Rows: books.iif row 4; books.iif row 7; bank.csv row 2

Next: Ask your bookkeeper to check the original entries and the bank records listed here. What explains the difference? Do not add an adjustment just to make these totals agree.

  2. The files do not confirm which transfer belongs to this bank entry.

Your bank file doesn't show a confirmed transfer reference.

    Rows: bank.csv row 2; payment-company.csv row 7

Next: Check your bank statement for the transfer reference. Ask PayPal for its transfer record, then check that both references identify the same payment.

  3. The transfer may have been entered twice in the books. The original records must confirm it.

More than one group of transfer entries in the books has the same date, accounts, amount and direction. This does not show that money moved twice.

    Rows: books.iif row 4; books.iif row 5; books.iif row 7; books.iif row 8

Next: Ask your bookkeeper to check the entry references and original records for each group. Do entries in both connected accounts describe the same transfer? Confirm that before deleting anything.

Your next step: take these checks and the original records to your bookkeeper or accountant. They decide how to record fees, refunds, transfers and currency differences. This report does not change your books or give accounting, tax or legal advice.

Questions about sales, payouts and bank deposits

Why do my bank deposits not match my sales?

Sales and deposits can cover different transactions or dates. Compare the payment company's transfer details, fees and refunds with the money shown on your bank statement.

Why is my Square deposit less than my sales?

Open the transfer details in your Square Dashboard or point of sale app. Compare that transfer with the bank deposit and check the original records for any difference.

Why is my PayPal deposit less than my sales?

A PayPal transfer to the bank is different from the sales recorded in your PayPal balance. Check the transfer alongside the balance report's sales, refunds, disputes and fees, then find the matching bank entry.

How do I check Stripe payout fees?

Open the payout's included payments and itemized fees, then compare the amount after fees and refunds with your bank deposit. For automatic payouts, Stripe's payout reconciliation report helps identify the included transactions; manual and instant payouts need their own records.

My Stripe payout says paid or completed, but I haven't received it. What should I check?

Check the destination bank account, expected arrival date and payout trace ID in Stripe. If it is late, ask your bank to trace that specific transfer and follow Stripe's missing-payout guidance if the bank cannot find it.

Shopify says deposited, but the money isn't in my bank. Why?

Deposited means Shopify sent the payout to the bank. The bank may still need one to three business days to process it. Check the destination account and bank reference in the payout details, and ask your bank to trace it if needed.

Why do Shopify sales and payouts not match?

The sales report and the payout report can include different transactions and dates. Open the selected payout's charges, refunds, fees and adjustments, then compare that payout with the bank deposit.

What does payment reconciliation mean?

It means comparing payment records with your bank or books and checking the differences. This checklist helps you gather those records; your bookkeeper decides what to record.

Which files do I need?

Get the bank activity file and the statement's opening and closing balances for the month. For Stripe, Square, Shopify or PayPal, add the transfer or payout report with its fees, refunds and references; transactions from your books can provide another comparison.

What does the $249 report include?

The one-month review lists what to check, the supporting rows and questions for your bookkeeper. It covers one bank account, one month, one currency and up to three files.

What can I see before paying?

Your own-file preview shows recognized files, dates found, how many items need checking and an amount where supported. The full items, source rows and questions unlock after payment.

When do I receive the report?

After payment is confirmed, your full report appears here and a copy is emailed to your checkout address. If confirmation takes longer, return using the saved report link. You can download the same report without waiting for the email.

Will you correct my books or give tax advice?

No. We list amounts to check and questions to ask. Your bookkeeper or qualified adviser decides the entries and any accounting, tax or legal treatment.
